A CRM remembers who your customers and prospects are, what you told them and when to follow up, so you don't have to. This guide explains what it is, how it helps Belgian SMEs and self-employed professionals, what it costs and how to make the right choice. What is a CRM?
A CRM (Customer Relationship Management) system is software that brings together everything you know about your customers and prospects: contact details, enquiries, conversations, quotes, appointments and the next action to take. Instead of spreadsheets and sticky notes, you get a record for each contact and a clear list of who to follow up with today.
In practice, a CRM answers three questions every morning: who has contacted me, where does each deal stand, and who should I call back today? Everything else (reports, automation, emails) comes afterwards.
What does a CRM do for a small business?
In an SME, a CRM's first job is to stop enquiries slipping through the cracks. Every form submission, call or email becomes a record with a dated next action. You can see your open deals and their value, follow up at the right time, and let a colleague take over without asking where things stand.
The most common uses for self-employed professionals and SMEs:
- Organise incoming enquiries: website forms, calls, emails, WhatsApp messages and shop visits.
- Track a pipeline: deals move from column to column (new, contacted, quote sent, won or lost), with their potential value.
- Schedule follow-ups: the CRM reminds you that a quote has been awaiting a reply for seven days.
- Keep a history: what was said, sent and promised, visible to the whole team.
- Target your communications: write to customers in a particular city, cold prospects or customers who haven't ordered for a long time.
What are the 3 types of CRM?
There are three types of CRM. Operational CRM handles day-to-day work: contacts, pipeline, follow-ups and appointments. Analytical CRM uses data to understand your sales and customers. Collaborative CRM shares information across teams and channels. SMEs almost always start with operational CRM.
In practice, the software available combines all three. The right question is not “which type?” but “what do I need this year?” For a team of one to ten people, the answer is almost always: receive enquiries in one place, track deals, follow up and find the history.
What is the difference between a CRM and an ERP?
A CRM manages relationships with your customers and prospects, before and after the sale: contacts, deals and follow-ups. An ERP manages the internal workings of your business: invoicing, stock, purchasing, accounting, scheduling and production. The CRM brings sales in; the ERP fulfils them. Many SMEs need both, connected.
When the two are separate, the risk is duplicate data entry: the customer exists in the CRM, then has to be created again in the invoicing tool. How do you choose a CRM for a Belgian SME?
Choose a CRM using five criteria: it receives your enquiries automatically (website, email, WhatsApp); it is simple enough for your team to actually use; pricing stays clear as the team grows; it supports French and bills in euros with Belgian VAT; and it connects to your Peppol invoicing.
Questions to ask before signing:
- Where do your contacts come from? If most come through your website, a CRM connected to it saves you re-entering data. If you mainly do outbound prospecting, look at email sequence management.
- Who will use it? A CRM that only the manager opens is no use. Ask the person least comfortable with tools to try entering a deal and a follow-up.
- How does the price change? Most providers charge per user per month. Calculate the price for 3, 5 and 10 users, and check what the higher plans add.
- Where do your quotes and invoices go? Since 1 January 2026, invoices between Belgian businesses go through Peppol, the e-invoicing network. A CRM that doesn't connect to your invoicing means re-entering every customer you win.
- Can you leave with your data? Check the export options (CSV or Excel) before importing anything.
How much does a CRM cost for an SME in Belgium?
A CRM costs from zero euros (limited free versions) to more than a hundred euros per user per month. Most tools charge per user, so the price rises with your team. Also allow for setup: importing contacts, configuring the pipeline and training. This often determines whether the tool will actually be used.

Is a free CRM enough?
A free CRM is enough to get started on your own with a few dozen contacts. It becomes limiting once several people need it, you want to automate follow-ups or connect it to your website and invoicing: these features are almost always reserved for paid plans billed per user.
A shared spreadsheet is also a perfectly reasonable way to test your follow-up routine. But once you forget a follow-up or leave a website enquiry unanswered, a single recovered deal can quickly cover the cost of a tool.
What GDPR rules apply to a CRM?
A CRM contains personal data, so the GDPR applies. You must know why you keep each piece of data, on what legal basis (consent, contract or legitimate interest), and for how long, and allow people to access or delete it. The rules are stricter for email prospecting.
The Belgian Data Protection Authority has published a reference page on direct marketing and a detailed recommendation (01/2025). Three simple habits: collect only what you need, record the contact's source and consent, and clean up inactive records.
How do you make your CRM rollout a success?
A CRM succeeds when data flows in effortlessly. First connect automatic sources (website forms, appointments, orders), import your existing contacts, define a pipeline with no more than four or five stages, then set a simple rule: every deal has a dated next action.

- Week 1: import the existing file (with duplicate detection), set up a pipeline with 4 or 5 columns, connect website forms.
- Week 2: each team member creates and progresses their own deals; we adjust any stages that aren't useful.
- Week 3: scheduled follow-ups, saved views (for example “quotes unanswered for 7 days”), and your first email segments.
