A bike workshop where every work order stays up to date

The Workshop module manages the repair work orders of a bike shop. Customers book online, the bike comes in and the order opens with its assigned mechanic. It moves through six statuses until the bike is back with its owner. Parts come out of the store's stock and the invoice is created from the order.

The module adds on to Bookings & appointments, which handles workshop bookings and your mechanics. Parts come from your catalogue and the per-store stock of Full e-commerce, the same stock your point of sale uses. Invoices go through Quotes & invoices.

What our bike workshop software does

Work orders with six statuses

Every bike dropped off opens a work order. The order holds the customer, the bike, the store and the mechanic, and moves through six statuses: received, diagnosis, waiting for parts, in repair, ready and collected. Orders are grouped by status, so you can see straight away what is holding things up.

  • Order opened from the booking
The order picks up the workshop booking made on your website
  • Mechanic assigned
Mechanics come from the resources of your booking module
  • Waiting for parts
Bikes held up by a missing part have their own status
  • Ready, then collected
The final status shows the bike is back with its owner
Repair orders in columns: received, diagnosis, waiting for parts

One record per bike, found by frame number

Every bike has its own record, identified by its frame number. When a customer comes back, you type in that number and see every repair already done on that bike. The bike is linked to the current work order, and its history grows with each visit to the workshop.

  • Search by frame number
The number is all you need to find the bike, even without the customer's name
  • History per bike
Past work orders stay attached to the bike
  • Bike linked to the order
From the order, link a known bike or create a new record

Parts come out of the right store's stock

On the work order, you add lines for parts and labour. A fitted part comes out of the stock of the store where the bike is repaired, not out of a shared pool. With several stores, each one keeps accurate stock, and your online shop shows that same stock, store by store.

  • Parts and labour
Two kinds of lines on the same order
  • Parts from your catalogue
Pick the part from the products in your online shop
  • Stock per store
Each order belongs to a store, and so do its parts

The invoice is created from the work order

Once the repair is done, the invoice is created from the work order, with all its parts and labour. Nobody retypes the lines, and the invoice joins your other invoices. If the Customer satisfaction module is active, the customer receives a survey after the bike is marked as collected.

  • No retyping
The order's lines become the invoice's lines
  • Alongside your other invoices
Track them in the Quotes & invoices module
  • Survey after pickup

A bike repair tracked in five steps

From the online booking to the collected bike. Every step leaves a trace on the work order.

The list of workshop appointments, with service, store and mechanic Step 01

The customer books on your website

On your website, the customer picks the service or repair package, the store, the mechanic and the time slot. The booking lands in the workshop calendar with the customer's details, without a single phone call.

A repair order just opened, with the status received Step 02

The work order opens

When the bike arrives, you open the work order from the booking. You link the bike by its frame number, or create its record if it is a first visit. The order moves to received, then to diagnosis.

Adding a part or labour to a repair order Step 03

Parts and labour are added

The mechanic adds the fitted parts and the time spent. Each part comes out of the stock of the order's store. If a part is missing, the order moves to waiting for parts, and the whole team sees it in the list.

Bikes ready and handed back, in the workshop's last columns Step 04

The bike is ready

When the repair is finished, the order moves to ready. You let the customer know however suits you, and the invoice is created from the work order, with every line of parts and labour.

A repair order with the status handed back Step 05

The bike is collected

The customer picks up the bike and the order moves to collected. The bike record keeps this repair in its history. If the Customer satisfaction module is active, the customer receives a survey to rate the visit to your workshop.

Questions? We have answers.

View all FAQs

Do I need the Bookings module to use the workshop?

Yes. The Workshop module adds on to the Bookings & appointments module. That module receives the workshop bookings made on your website and manages your mechanics, their hours and their time slots. The work order then picks up the booking, so you never enter the customer or the bike twice.

How do I find a bike's repair history?

Type in its frame number. Every bike has its own record, identified by that number, and every work order is attached to it. When the customer comes back, you see the repairs already done on that exact bike, even if they own several. The history starts with the first work order opened in Eazyclick.

Do workshop parts reduce the store's stock?

Yes. Every work order belongs to a store, and the parts added to it come out of that store's stock, not out of a shared pool. With several stores, each one keeps accurate stock. It is also the stock your online shop shows, store by store, on the product page.

How does the customer know the bike is ready?

When the repair is finished, the work order moves to the ready status and joins the bikes waiting to be handed back. Your team then lets the customer know by phone or email. Once the bike is picked up, the order moves to collected, and a satisfaction survey goes out if the Customer satisfaction module is active.

Can I invoice straight from the work order?

Yes, with the Quotes & invoices module. On the finished work order, one click creates the invoice, with the parts and labour lines already entered. You retype nothing, and the invoice joins your other invoices, where you track its payment just like the rest.

Can I import repairs from my old software?

No, repair history cannot be imported. Bike records build up over time, from each bike's first work order. Your parts catalogue, on the other hand, can be imported from your suppliers' files, in CSV or Excel format, with a line-by-line simulation before you apply it.
