How online calendars work, choosing a free tool, platform or your own website, reducing missed appointments and following Belgian rules.

If you're self-employed and take appointments by phone, you answer in the middle of sessions, call back between clients and copy everything into a diary. An online calendar lets your clients book for themselves, at any time, while you work. This guide explains how it works, how to choose between a free tool, a platform and your own website, how to reduce missed appointments and which Belgian rules to keep in mind.

What is an online calendar?

An online calendar is an appointment diary your clients view online to book an available slot themselves. You define your services, their duration and your working hours; the tool calculates available slots, blocks the chosen one, sends confirmation to the client and adds the appointment to your calendar.

This calculation is what sets it apart from a simple shared calendar: clients only see genuinely available slots, taking account of service duration, breaks, holidays and existing appointments. Two clients therefore cannot book the same time.

Why offer online appointment booking?

Because your clients look for a slot when it occurs to them, often in the evening or at the weekend, rather than during your opening hours. With online booking, they book without calling, your sessions are no longer interrupted, and every appointment arrives with full details: name, contact information, service and time. The phone remains available for special cases.

It's also about your image: a visible “Book an appointment” button on your website and Google listing reassures clients comparing three practitioners. And every appointment adds to your customer database, so you can follow up for their next visit.

Free calendar, platform or your own website: which should you choose?

A free calendar works well when you're starting out with few appointments. A booking platform brings visibility, but your clients also see competitors there, and pricing models (subscription, commission, extras) vary between providers. Booking on your own website keeps clients with you and links each appointment to your database.

Compare all three on four points:

  • Ownership of your customer database. Can you export your clients and their history if you leave?
  • What your client sees. Just your name, or a list of competitors beside your profile?
  • Connections with your other tools. Appointments, customer records, reminders and invoices in one place, or four tools requiring duplicate entry.

How can you reduce no-shows?

The easiest way to reduce forgotten appointments is an automatic reminder the day before, with a one-click cancellation link: clients who can't make it free up their slot instead of simply not turning up, so you can offer it to someone else. Display your cancellation policy before booking too.

Other useful habits include:

  • Immediate confirmation by email, with a file to add to the client's calendar.
  • Clear cancellation rules, displayed before booking and repeated in the confirmation.
  • Recording no-shows in your calendar to identify clients who frequently miss appointments.
  • Manual approval of requests for longer services or new clients, if you prefer to stay in control.

Which rules apply in Belgium?

Three rules affect most self-employed professionals taking appointments online: display a total price, including VAT and mandatory extras; inform clients of their rights and your cancellation terms before booking; and protect the personal data you collect. Check any profession-specific rules with your professional body too.

What the official sources say, consulted in September 2026:

  • The displayed price is the total price. It includes VAT, taxes and all services that must be paid for as extras; a “from” price does not let clients calculate what they will pay. Belgium's FPS Economy reiterates this for hair salons (guidelines of 17/07/2026, Articles VI.3 to VI.6 of the Code of Economic Law).
  • An appointment booked online is a distance contract. Consumers generally have 14 days to withdraw from the conclusion of a service contract; if they ask for the service to start before that period ends, they pay for what has already been provided. Certain services on fixed dates are excluded: check whether yours is one of them (FPS Economy, page updated on 07/09/2026).
  • Your clients' data is primarily used for their appointments. To send advertising afterwards (promotions, newsletters), follow the direct marketing rules explained by the Data Protection Authority.

How do you choose appointment booking software?

Choose software that calculates genuinely available slots (durations, breaks, preparation time, holidays), automatically sends confirmations and reminders, lets clients cancel through a link, handles multiple practitioners if you work as a team, and links each appointment to a customer record. Then check the total price and ownership of your data.

Your checklist:

  1. Time slots: do they account for preparation time between clients?
  2. Messages: are confirmations, reminders and cancellations sent automatically?
  3. Your team: does each practitioner have their own hours and services?
  4. Customer database: is visit history kept, and can it be exported?
  5. Integration: does booking happen on your website, under your name?
