POS software for Belgian shops: obligations and options

Is a till mandatory for Belgian shops? Types of tills, essential POS software features, prices and connections to your online shop.

Choosing a till for a shop means choosing a tool you will use hundreds of times a day. This guide is for retailers (shops, grocers, florists, bookshops, bike shops): what Belgian law requires, types of tills, what good POS software should do and what it costs. Run a restaurant or café? Is a cash register mandatory for shops in Belgium?

For retailers outside hospitality, there is no general obligation to use a certified cash register. The registered cash register system (SCE, the “black box”) is mandatory for establishments serving meals and caterers with annual restaurant turnover above €25 000 excl. VAT, excluding drinks.

However, two obligations apply to all shops:

  • An electronic payment method. Since 1 July 2022, every business selling to consumers must offer at least one electronic payment method alongside cash (FPS Economy, “Obligation to offer an electronic payment method”).
  • Recording your receipts. Your receipts must be recorded daily (daily receipts journal); a reliable till is the simplest way to do this. Your accountant will tell you which documents to keep.

What types of cash register are there?

There are three main types: the traditional cash register, a standalone device that prints receipts; the touchscreen till with installed software, connected to a printer and cash drawer; and the online (cloud) POS, software running on a tablet or computer that synchronises your data over the internet.

What sets them apart in practice:

  • The traditional cash register costs little but knows nothing about your stock or online shop.
  • The installed touchscreen till is robust, often sold with a hardware and maintenance contract.
  • The cloud POS updates itself, can be accessed remotely and shares data with your other tools, provided you have a reliable connection.

What should good retail POS software do?

Good POS software takes payments quickly, scans barcodes, handles discounts and returns, prints receipts with VAT by rate and closes the day with a clear report. For a retailer also selling online, above all it must share the same stock and catalogue as the online shop.

What to check before signing:

  1. Speed at the counter, even with a queue.
  2. Stock: updated with every sale, in store and online.
  3. Closing the till: a Z report by payment method, VAT and cash discrepancy.
  4. Payment terminal: the amount sent to the terminal without re-entering it, to prevent errors.
  5. Hardware: compatible 80 mm receipt printer, barcode scanner and cash drawer.
  6. Customers: in-store purchases linked to the customer record, for loyalty and follow-ups.

How much does POS software cost?

POS software is usually paid for through a monthly subscription, which varies with the features and number of tills. Add hardware (tablet, printer, drawer, scanner) and payment terminal fees charged on each transaction by your payment provider.

For a fair comparison, calculate the cost over 24 months: subscription for all your tills, hardware, payment fees and necessary options (stock, online shop, loyalty). A cheap till that forces you to update website stock manually costs you time.

Should you connect your POS to your online shop?

Yes, as soon as you also sell online. With two separate tools, a product sold at the counter remains for sale on the website, and a customer pays for an item no longer available. A POS connected to your shop shares the same catalogue and stock, and you see in-store and online sales in one place.

This also makes click and collect possible: collection orders appear at the counter, and stock stays up to date.

How do you take payments with Eazyclick?
